Job Opportunity: Executive Assistant: Remote (Canada) Full-Time

About the Role

CCMW is seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative support to the Executive Director, as well as CCMW staff and board members. The ideal candidate will be proactive, flexible, reliable and passionate about CCMW’s mission, vision and values.

Key Responsibilities

  • Provide administrative support to the Executive Director, board members, and staff.

  • Prepare internal and external reports, memos, and documents.

  • Manage incoming general emails, forwarding and archiving them appropriately.

  • Update and maintain organizational databases for accuracy.

  • Participate in staff and board meetings, including minute-taking and record-keeping.

  • Assist with CCMW projects, including scheduling, meeting coordination, preparing forms, surveys and other document preparation.

  • Maintain proper virtual storage and organization of CCMW files and documents.

  • Support committee work with administrative tasks (e.g., minute-taking, sensitive correspondence).

  • Provide on-site event assistance, such as registration and setup.

  • Prepare and distribute mail, courier parcels, and CCMW materials.

Qualifications

  • Minimum 2 years experience in administrative experience in a non-profit setting.

  • Strong written and verbal communication skills in English.

  • Highly organized with excellent attention to detail.

  • Ability to multi-task and prioritize in a fast-paced environment.

  • Experience handling confidential information with discretion.

  • Proficiency in Office 365, GSuite, Zoom, WexEX, Microsoft Teams, and other virtual tools.

  • Understanding of and alignment with CCMW’s mission, vision, and values.

  • Proficiency in French and any one or more of Arabic, Farsi, Dari, Urdu, Somali, Pashto or Bangla.
